Everything mechanics and shop managers need to know about documenting vehicles and protecting the shop.
For Mechanics
How to check in a vehicle from your phone
1
Scan the QR Code
Open your phone camera or any QR scanner app and scan the QR code posted in your shop. It will open the check-in form in your browser — no app to install.
2
Select Your Name
Pick your name from the mechanic dropdown at the top of the form. If you don't see your name, ask your shop manager to add you.
3
Take Photos
Tap the camera buttons to photograph the VIN, license plate, mileage, and any pre-existing vehicle damage. These timestamped photos are your proof of the vehicle condition when it arrived.
4
Enter Details (or use AI)
Type the VIN, license plate, and mileage — or if your shop has the Pro Plan, tap the AI button to auto-read text from your photos. Always review AI results before submitting.
5
Add Vehicle Photos
Take additional photos of the vehicle condition — dents, scratches, or anything worth documenting. The more you photograph before work begins, the stronger your defense against false claims.
6
Submit the Check-In
Review everything and tap Submit. Your shop manager will see the check-in instantly in their dashboard. You can also edit or delete recent check-ins from the same page.
For Shop Managers
How to manage your shop from the dashboard
1
Open the Manager Dashboard
Sign in from a computer or tablet to access the dashboard. Search and filter all check-ins, view photos, and manage your shop.
2
Add & Manage Mechanics
Go to the Mechanics tab to add mechanic accounts, activate or deactivate them, and track who submitted each check-in.
3
Print the QR Code
Your check-in link has a unique QR code. Print it and post it in the shop so mechanics can scan and check in vehicles instantly.
4
Upgrade to Pro for AI
On the Pro Plan, your mechanics can tap an AI button to auto-read VIN, license plate, and mileage from photos. Track your AI usage on the Billing page.
5
Set Data Retention
Choose how long check-ins and photos are kept — 60, 90, 180 days, or 1 year. Older records can be purged on demand, and you can download a ZIP backup of everything before deleting.
Why Documentation Matters
Photographing pre-existing damage before work begins is your best defense against false claims.
Every check-in is timestamped and tied to the mechanic who submitted it — building a defensible record.
No app to install — everything runs in the phone's browser.
Export all records and photos as a ZIP file if you need them for a dispute.
